How to Choose a DMC in Vietnam: 9 Questions Smart Agents Ask

Own contracting or middle-man? Zone-accurate transfers? 24/7 duty phone that actually answers? A practical checklist for agents comparing Vietnam ground partners.

Every agent has a DMC horror story: the 'confirmed' hotel that wasn't, the coach that arrived an hour late for a flight, the invoice with mysteries in it. Choosing a destination management company in Vietnam is a supplier decision that touches every client you send — so it deserves more scrutiny than a rate comparison.

1. Do they contract directly?

Ask whether cruise, attraction and transport rates come from direct contracts or are re-brokered. Direct contracting means honest availability, faster amendments, and someone accountable when a supplier wobbles.

2. Is transfer pricing zone-accurate?

Island destinations like Phu Quoc price transfers by hotel zone. A DMC that quotes one flat transfer rate either doesn't know the island or is padding everything. Zone-accurate quoting is a competence signal you can test in one email.

3. What happens at 2 a.m.?

Flights misconnect at night. Ask for the duty phone process — who answers, in what language, with what authority to re-accommodate.

4. Can they really run your dietary needs?

For the Indian market, 'vegetarian available' is not an answer. Ask how they run a Jain group on an island excursion day: if the reply doesn't mention packed meals and kitchen coordination, keep looking.

5. How do they price hotels?

Some DMCs load margin invisibly across every line. Others keep hotel pricing transparent and earn on ground services. Understand the model so you can position your own margin cleanly.

6–9. The quick-fire four

  • Quote turnaround SLA in writing (24 hours for FIT is the fair bar).
  • Client-facing documents: single clean price, no cost breakdowns leaking.
  • References from agents in your own source market.
  • Amendment culture: how many changes before the sighing starts?
