Planning MICE in Vietnam: A Ground Operator's Honest Guide

Which city for which group size, realistic lead times, gala-dinner economics, and the dietary logistics that make or break Indian corporate groups.

Vietnam has quietly become Asia's best-value MICE stage: five-star inventory at four-star prices, ballrooms and beach lawns, and novelty your delegates haven't already photographed. Here's how we frame it for planners, from the operating side.

Match the city to the group

  • Ho Chi Minh City: 200–500+ delegates, conference-first programmes, strong airlift.
  • Da Nang: 50–300 delegates wanting beach-plus-content; excellent resort ballrooms.
  • Phu Quoc: 20–200 delegates for pure incentive wow — island novelty, theme parks, show evenings.
  • Hanoi: content-rich programmes pairing meetings with Halong day cruises.

Lead times that actually work

Sixty to ninety days is comfortable for most groups; peak season (November–March) and 200+ delegates deserve four to six months, mainly for room blocks and gala venues.

Gala economics

The gala is where budgets stretch or snap. Beach and lawn venues cost less than ballrooms but add weather-call planning; theming and AV are where a good DMC's local production partners save real money versus flown-in solutions.

The dietary logistics chapter

Indian corporate groups often run 40–100% vegetarian with Jain segments. The operating answers are: dedicated banquet menus agreed with hotel chefs, packed-meal systems for excursion days, and restaurant partners who've cooked for your community before. Ask your DMC to describe last month's veg-majority group in detail — specificity is the tell.

One run-sheet, one owner

Every successful group we've operated had a single client-side owner and a single DMC-side event lead exchanging one living run-sheet. Committees write beautiful decks; pairs run beautiful events.
